Preauthorization

As a business, you want to ensure that you can successfully collect funds for the service that you provide. Preauthorizing credit card payments with Paystri allows you to do just that. You can verify if a credit card is valid and has enough funds to pay the upcoming invoice. Then, when you are ready, you can charge the card for the full amount with confidence.

There are a few things to take note of:

  • Preauthorization is only valid for 5 days. If preauthorization has not been captured within this timeframe, it will be voided.

  • If the invoice total exceeds the original preauthorized amount, the preauthorized charge will be re-run for just the balance will be created.

  • The preauthorized amount will be for the total amount due for the job and will take into account any credits the customer may have.

Here's how you can preauthorize cards!

To manually preauthorize payments, you can go to Company > Invoicing and Payroll > All Invoicing and Payroll > Credit Card Preauthorization.

On the top right of the report, you can add the percentage increase of the job's Bill Rate you would like to charge, this will help to account for taxes, and pick the date range of jobs you want to include.

Once you're ready to process charges, click Preauthorize Cards. When preauthorization is complete, you will see a green check mark next to the preauthorized amount. You can hover your cursor over the amount to view when the amount was preauthorized and the date that it will no longer be valid.

If you would like to void the charge, you can click Void Charge to cancel it.

You can view these charges under the Customer Profile > Payments > Transaction section for a single client, and in the Credit Card Transactions report for multiple clients at once

Can I automate preauthorization?

You can automate the preauthorization of cards with just a few settings!

  • You can go to Company > Settings > General > Features > Paystri > Automatic Preauthorization and click Settings

  • You can set the following settings to determine how many days in advance you would like to preauthorize cards, what time you would like this completed, and if you would like to add a percentage to account for tax.

  • Once you have your Automatic Preauthorization settings ready, you can toggle the Feature Status to On.

By default, customers with Credit Cards set as their Billing Terms will have preauthorization enabled.

There may be a reason that you need to disable preauthorization for a customer. To disable preauthorization for a customer, you can go to the Customer Profile and click on the pencil icon in the orange box containing the Customer Details.

  • Then, you will want to check the box for Disable Credit Card Preauthorization located right under Billing Terms, and you're all set!

ACH can be set up within a customer profile as quickly and as simply as adding a credit card!

There are a few things to take note of:

  • If you do not see the options below in your instance, then ACH has not been enabled for your company yet. You can reach out to our Support Team to help get this set up for you!

  • Due to banking limitations in Canada, ACH is only available to US Partners .

To add an ACH Account to a customer, navigate to the Customer Profile, and under the Payments tab click Add Payment Method

Click the ACH button to add their Routing Number and Account Number. Click save at the bottom right will add the ACH to their account. NOTE: Entering the Bank Account information will change the Billing Terms to ACH for this Customer. Conversely, adding a Credit Card will set the Billing Terms to Credit Card.

Invoicing & Job Records

On the I+J Page, ACH Accounts are displayed as such: Billing Terms and the dropdown will display ECHK.

Clicking the "Create Invoices and Charge Jobs" button will process all Credit Cards and Bank Accounts per normal, such that the Charge button is selected.
