Advanced: Email Parsing

Reporting -

Several campaign options exist within MaidCentral such as Lead Campaigns and Quote Campaigns that have the ability to automate some parts of the customer lifecycle. However, for tech savvy, "trigger" happy users, this may not be enough, which is where email parsing comes in to help. 

External Services Used -

Creating Mailboxes in Zapier Parser

  1. Attach parser account to your Zapier account if you have not already done so
  2. Create new mailbox
    1. You can use the generated email name or make your own but be sure it isn't something that is easily guessed or you may be spammed on accident!
  3. Go to the template you wish to parse out in Maid Central (Company>Templates)
  4. Add your new Parser mailbox email into the BCC of the email template
  5. Add brackets to your templated around your merge fields if it is an internally used email
    1. Add a "CLIENT INFORMATION" section in white at the bottom of the page if it is an email sent externally to customers. 
    2. This helps the parser know a bit better when to start and stop each output 
  6. Copy the template you just edited and paste it into the Initial Template within Parser by Zapier
    1. Add the different fields you want to be parsed from the template in the brackets. 
  7. Save address and template within Parser by Zapier
  8. Wait for an email or force on to be sent
  9. Double check the output in Parser by Zapier 
    1. Mailboxes>View Emails>Output
      • If the output is correct mark it as accurate at the bottom
      • if the output is incorrect mark is as such and create an additional template. 
    2. As long as the brackets are in use, you should only need to add 1-2 additional templates for the parse output to be accurate. 

Formatting Parsed Output Using Zapier

Now that you have your parser mailboxes set up and your templates are producing accurate outputs, the next step is to format the outputs for the cleanest connections. 

  1. Create a new zap within Zapier
  2. Set up the trigger as Email Parser by Zapier
    1. Select New Email
    2. Connect your Email Parser by Zapier account
  3. Formatting the dates
    1. Use the Format option
  4. Format text outputs - as needed
    1. Split and Replace are really good options here!
  5. Connect to whatever application you want this information to be used by such as:
    1. Keap for more advanced automations
    2. Airtable for external databases or projects
    3. Google Sheets for spreadsheets

Now you are all set, your parsed emails are coming in, are accurately being parsed out, and have the optimal formatting which opens up endless possibilities for external connections.
