Events: Non Billable Jobs

Say goodbye to dummy Jobs! Events are here to help schedule non-billable tasks and have them visible on the schedule for you and your staff.

There are a few things to take note of:

  • Events are in the BETA at this time. If you have any questions or feedback regarding events, feel free to reach out to our Support Team by opening a ticket or a chat!

  • The current Technician Mobile App does not support Events. The new Technician Mobile app will have Event Support!

  • Time Change Requests and Clock History are currently not supported for Event Clocks.

What can I use events for?

You can use Events to schedule non-billable tasks that you want on your schedule but are not traditional Jobs. Some examples of these non-billable tasks are meetings, administrative tasks, and even training sessions.

You can schedule a one-time Event or make it a recurring Event that repeats daily, weekly, monthly, or yearly.

How can I schedule an Event?

  • Office staff can schedule an Event by going to Customers > Job Schedule and clicking Create Event on the top right of the page

  • This will open a modal where you can fill out information about the Event including the Teams that this will be assigned to, the Pay Type for this time, and which Satellite Office it will be for if you have any. Wondering what's a Satellite Office? Find out more here !

  • When you're done filling out the information for the Event, you can hit Save, and the Event will appear on the Job Schedule! If an Event is a recurring Event, there will be an icon to distinguish it from a one-time Event.

You can also add Events from the Monthly Job Calendar! This will be under Customers > Monthly Job Calendar and click Create Event .

How will technicians see events?

Events will appear the same way that Jobs do on the Technician Dashboard and Technicians can check in and out of Events the same way they check in and out of Jobs.

Technicians will only be able to check in and out themselves, they cannot check in/out other technicians.

Completed Events are visible in the Employee Profile > Events. Only Admins can view the Additional Pay amount and edit it.

What about On the Way Reminders?

The On the Way reminder modal will automatically update to have the Starting Location reflect the office and recalculate time to the next Job. Events themselves will not have notifications. The On the Way reminder modal will not appear if the next Job is an Event.

How will technicians be paid for Events?

When technicians check out of an Event, an Additional Pay will be automatically created. If an Event clock is edited, the Additional Pay will be automatically updated.

You can find Event clocks by going to Employees > Daily Timeclocks > Events.

There are 3 options when it comes to Pay Types for Events:

  • Hourly - Additional Pay will be created based on the Actual Hours checked into the Event

  • Allowed Hours - Additional Pay will be created based on the scheduled hours of the Event

  • N/A - No Additional Pay will be created

The pay for Events will be pulled from the Technician's Hourly Rate listed in their Employee Profile > Information > Pay and Tax Info > PTO and Pay Info > Hourly Rate.

Check this setting if the Additional Pay was not automatically created.

Will events count in reporting?

Events will appear on the Schedule Efficiency Map and count towards the Team Mileage Report the same way Jobs do.

Can I add Tags to events?

Yes! There will be a new category of tags for just events. Click here to learn more about Tags!

Other Things to Note:

  • Events cannot be edited once the week has been Closed

  • Events with Clocks cannot be deleted.

  • GPS location tracking will function on Events in the same way as Job and day clocks. Click here for more information about GPS Tracking!
